A well-planned corporate offsite can do more for a team than months of meetings: people reconnect, think bigger and come back with fresh energy. A badly planned one wastes budget and goodwill. Here is the checklist our events team uses when planning offsites, dealer meets and annual conferences for companies, PSUs and banks.
1. Start with the goal
Decide what the offsite must achieve before choosing a place. Strategy planning needs quiet meeting rooms and few distractions. Team bonding needs space for activities. A sales or dealer meet needs a stage, sound and a gala dinner. The goal shapes everything else.
2. Fix the budget and headcount early
Agree a per-person budget covering travel, stay, meals, venue, activities and a buffer of about 10%. Confirm the approximate headcount early, because hotels price group blocks on numbers.
3. Choose the right destination
For teams in Delhi NCR, popular options are:
- Uttarakhand hills (Mukteshwar, Nainital, Rishikesh): reachable by road, cool weather and peaceful resorts. Ideal for strategy sessions and small leadership groups.
- Jaipur and Udaipur: heritage hotels with large banquet halls, great for conferences and award nights.
- Goa: beach resorts, easy flights and plenty of team activities. A favourite for sales incentives and larger groups.
- International (Dubai, Thailand, Bali): short flights and strong incentive value for top performers.
4. Book 6 to 10 weeks ahead
Good resorts with meeting space fill up fast, especially from October to March. Booking early gets better group rates, better flight fares and more choice of dates.
5. Balance work and downtime
A common mistake is packing every hour with sessions. Keep work sessions to the mornings, plan one team activity per day (a trek, a cooking class, a treasure hunt or a river cruise) and leave free time in the evening.
6. Sort out logistics in detail
- Flights or coaches, with a shared arrival schedule
- Airport and hotel transfers
- Rooming list and special requests
- Meeting room setup: projector, sound, Wi-Fi, stationery
- Dietary needs for every meal
- One on-ground coordinator as the single point of contact
7. Collect feedback after the trip
Send a short survey within a week. What worked, what didn’t, and what people want next time. It makes the next offsite better and shows the team their time was valued.
